Job Summary
Under general direc�on, performs du�es in the procurement and inventory of equipment
and/or vehicles.
Essen�al Job Du�es and Responsibili�es
The following duties are normal for this position. These are not to be construed as exclusive
or all-inclusive. Other duties may be required and assigned.
• Coordinates the procurement and disposal of equipment, maintains all records, vehicles
and other commodi�es for the Equipment division including pos�ng to the City’s web
site and other distribu�on methods.
• Develops, maintains and/or revises specifica�ons for equipment and/or vehicles based
on current needs and requirements.
• Enters, reviews, updates, and maintains various computer programs, applica�ons, and
spreadsheets.
• Assists in developing and implemen�ng new division procurement procedures.
• Processes and secures registra�on, licensing, and �tling of purchased and sold vehicles
and equipment.
• Prepares contracts for equipment rental/lease use.
• Atends and/or conducts all equipment and vehicle bid openings, records all bids/RFPs
(request for proposals) received, cer�fies accuracy of data and prepares
recommenda�ons.
• Assists with wri�ng award recommenda�ons of bids, verifying delivery in the inspec�on
of new equipment and/or vehicles, maintains vendor compliance with City’s Equal
Employment Opportunity Program, ensures other specific requirements are met as
outlined in the bid process.
• Assists in the development and implementa�on of web so�ware for equipment
procurement.
• Prepares reports as needed; prepares reports for equipment expenses annually; assists
with researching equipment pricing; maintains equipment lists throughout the year for
budget control, maintains equipment replacement schedules.
• Enters and maintains vehicle and equipment informa�on in City fleet management
so�ware.

• Enters purchase order and purchasing contract requests in City accoun�ng system.
• Accesses City accoun�ng system for vendor payment; posts Equipment division’s
invoices with appropriate account numbers.
• Operates various office equipment and machines as directed.
• Provides informa�on and assistance to City employees, intergovernmental agencies,
contractors, vendors and the general public regarding various City procurement policies
and procedures.
• Assists with crea�ng and distribu�ng the weekly preventa�ve maintenance schedules.
• Assists other staff on specific projects as needed.
• Conducts self in a manner which promotes and supports diversity and inclusivity in the
workplace and community.
• Performs other du�es as assigned.
Minimum Education, Experience, Certification/Licensure, Other
• High school education or G.E.D. and seven to twelve months of related experience or
training; or equivalent combination of education and experience.
• Valid State of Iowa driver's license with a sa�sfactory driving record. Must be 18 years of
age. Must pass criminal background check.
Preferred Education, Experience, Certification/Licensure, Other
• High school diploma or G.E.D. and one year of related experience or training; or
equivalent combination of education and experience.
Knowledge, Skills, and Abili�es
• Ability to apply common sense understanding to carry out instruc�ons furnished in
writen, oral, or diagram form.
• Ability to calculate figures and amounts such as discounts, interest, commissions,
propor�ons, percentages.
• Ability to deal with problems involving several concrete variables in standardized
situa�ons.
• Ability to establish and maintain effec�ve working rela�onships with City employees,
vendors and the general public.
• Ability to read and understand reports, journals, diagrams, and various equipment and
vehicle specifica�ons.
• Ability to reliably and predictably carry out du�es.
• Ability to write and prepare bid specifica�ons, correspondence and interdepartmental
memos, and rou�ne reports.
Knowledge of vehicles, equipment and various components.
• Skill in using computers and applicable so�ware applica�ons (Microso� Office – Word,
Excel, Outlook) and the opera�on of standard office equipment.
