Job Summary
Under general direc�on, reviews, classifies and prepares Police reports for entry into the
computer system. Answers phone and assists general public and other departments with Police
informa�on.
Essen�al Job Du�es and Responsibili�es
The following duties are normal for this position. These are not to be construed as exclusive
or all-inclusive. Other duties may be required and assigned.
• Reviews the case reports and arrest informa�on of dispatchers and Police Officers.
• Classifies, indexes and prepares informa�on for entry in the records management
system.
• Enters incident and arrest data into the record management system, reviews and verifies
accuracy of informa�on.
• Answers telephone, provides informa�on and reports as appropriate, refers unanswered
ques�ons and complaints to appropriate par�es.
• Responds to mail, telephone and public requests for confiden�al reports including
criminal history, accident reports, incidents and sta�s�cs, collects money received for
records services.
• Maintains contacts with other law enforcement agencies, social services, county
atorney’s office and disseminates paperwork to appropriate par�es.
• Maintains juvenile records, paperwork and all arrest/criminal charges paperwork and
processes juvenile fingerprints.
• Prepares and responds to subpoenas.
• Monitors, processes and archives forms the State of Iowa TRAC’s system and the e-file
system.
• Prepares monthly sta�s�cs for the Department and completes repor�ng for the State of
Iowa and the Federal Bureau of Inves�ga�on.
• Assists Police Officers in loca�ng case files and researching criminal records.
• Assists in training new employees and volunteers in department policy, data entry,
procedures and usage of equipment.
• Assists with Sta�on Master du�es.

Minimum Education, Experience, Certification/Licensure, Other
• High school educa�on or G.E.D. and seven to twelve months of related experience or
training; or equivalent combina�on of educa�on and experience. Experience in
computer systems and general office work.
• Na�onal Crime Informa�on Center Cer�fica�on. Must pass criminal background check.
Preferred Education, Experience, Certification/Licensure, Other
• High school diploma or G.E.D. and one year of related experience or training; or
equivalent combina�on of educa�on and experience.
Knowledge, Skills, and Abili�es
• Ability to add, subtract, mul�ply, and divide in all units of measure, using whole
numbers, common frac�ons, and decimals.
• Ability to apply common sense understanding to carry out instruc�ons furnished in
writen, oral, or diagram form.
• Ability to compose correspondence and prepare various writen and computer-
generated reports.
• Ability to compute rate, ra�o, and percent.
• Ability to deal with problems involving several concrete variables in standardized
situa�ons.
• Ability to dis�nguish between confiden�al and public informa�on.
• Ability to effec�vely present informa�on in one-on-one and small group situa�ons to
customers, clients, and other employees of the organiza�on.
• Ability to operate standard office equipment.
• Ability to read and understand writen materials to record work ac�vi�es or keep
records.
• Ability to reliably and predictably carry out du�es.
• Ability to write simple correspondence.
• Knowledge of basic accoun�ng clerical methods, forms, techniques, and terminology.
• Knowledge of police records system.
• Skill in oral and writen communica�on.
• Skill in typing and computer data entry.
• Skill in using computers and applicable so�ware applica�ons (Microso� Office – Word,
Excel, Outlook).
• Skill in verifying the accuracy of source documents and performing simple pos�ng
du�es.
