Assists with compliance of OSHA regula�ons, and coordinates and monitors worker’s compensa�on and liability claims. Performs general and specialized office and budget management func�ons for the Finance Department. Serves as secretary to Finance Director. Essen�al Job Du�es and Responsibili�es The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. • Establishes and maintains office filing system and computerized records; ensures files are maintained in good working order and easily retrievable. • Manages a recordkeeping system to ensure efficient administra�on of the Risk Management program and other recordkeeping requirements. • Performs workers’ compensa�on claim collec�on and analysis; reports injuries and prepares reports and appropriate documenta�on; acts as liaison to City’s third-party administrator and occupa�onal health providers. • Performs property and liability claim collec�on and analysis, acts as liaison to City’s third-party administrator. • Maintains OSHA logs and coordinates log distribu�on and collec�on. • Reconciles monthly worker’s compensa�on and re�ree medical claims by working with third party worker’s compensa�on, medical or liability administrator. • Reconciles health and dental insurance invoices and prepares payments. • Maintains and reconciles pety cash drawer for Finance Department. • Coordinates annual actuarial analysis of risk management and health care risk pools and prepares related filings with regulatory authori�es. • Processes accounts payable, claims and vendor payments for Risk Management and Finance Administra�on. • Assists in compila�on and analysis of budget documents par�cularly in Microso� Office and Adobe Acrobat. • Processes City Council agenda items, mo�ons, resolu�ons, ordinance, monthly disbursements and bond counsel prepara�on. Updated: March 2024 • Reviews and maintains Finance Administra�on and Risk Management web pages, files and press releases. • Coordinates deferred compensa�on programs. • Supports temporary disability board through minutes and no�fica�ons. • Conducts self in a manner which promotes and supports diversity and inclusivity in the workplace and community. • Performs all other related du�es as assigned. Minimum Education, Experience, Certification/Licensure, Other • Associate’s degree from an accredited educa�onal ins�tu�on; or two years of related experience and/or equivalent combina�on of educa�on and experience. Experience in claims management, computer opera�ons, wri�ng, legal issues and/or public or vendor rela�ons. • Must pass criminal background check. Preferred Education, Experience, Certification/Licensure, Other • Associate’s degree from an accredited educa�onal ins�tu�on and one year of related experience; or three years of related experience and/or equivalent combina�on of educa�on and experience. Knowledge, Skills, and Abili�es • Ability to apply common sense understanding to carry out instruc�ons furnished in writen, oral, or diagram form. • Ability to calculate figures and amounts such as discounts, interest, commissions, propor�ons, percentages, ability to develop and present mathema�cal and sta�s�cal informa�on. • Ability to complete a variety of writen correspondence and reports. • Ability to compute rate, ra�o, and percent and to draw and interpret bar graphs. • Ability to deal with problems involving several concrete variables in standardized situa�ons. • Ability to maintain inter and intra department confiden�ality. • Ability to read and interpret laws, ordinances and reports. • Ability to reliably and predictably carry out du�es. • Ability to speak effec�vely before groups of customers or employees of organiza�on. • Ability to take and transcribe minutes. • Knowledge of general office policies and procedures. • Knowledge of worker’s compensa�on laws, and city liability. • Skill in using computers and applicable so�ware applica�ons (Microso� Office – Word, Excel, Outlook) Adobe Acrobat, and financial management so�ware.
