I met with our faculty advisor today and she said we held it on a Saturday last year. With the holidays and the budget season, staff has been either absent or incredibly busy. Each permit is reviewed by 6 or 7 staff members. We don’t really have a tracking system per say, but you will receive an email from me once your permit has been reviewed by staff. Roberto was in contact with Kathryn Johansen last year, but it appears you are the person with the city to contact this year as Tippie Build plans its second 5K. Unfortunately I do not know all the steps that need to be taken, but Roberto said everyone he worked with was very helpful. I am beginning to start to plan the 5K for this Spring, which we hope to have on April 1, 2012. I was wondering what all the steps are that I need to coordinate with the city. We are hoping to use the same route as last year. Would you please let me know the first steps I should take? You will have to fill out a public assembly/parade permit in order to request a permit for your race. I know there is a parade assembly form online. Do I need to fill that out? If yes, do I fill it out in the organization's name or for the applicant do you need a person? You can use both—it is helpful to have a contact person just in case we need to communicate quickly and coordinate the event. Also, we will be coordinating with Habitat for Humanity for insurance, so would it work to go ahead and apply and get access, then have the insurance confirmed? That would be fine. Depending on the nature of the event, insurance may not be required but if it is, we just need proof of insurance stating the City as “additional insured.” I know I have just asked a bunch of questions, so any guidance you can give me would be greatly appreciated, or if I need to talk to someone else, please just let me know. If you want me to call you and discuss this instead, please just let me know that as well. My phone is 319-356-5010, if I can be of further assistance. The applicant should remind participants to be courteous of other ‘non-participants’ using the sidewalks as they will remain open to the public. The applicant will also need to utilize PD assistance at the Park Road crossing and possibly at the Madison crossing if participants will not be adhering to traffic control (I’m assuming they will not be as this is being characterized as a race). Lastly, the applicant should ok these plans with the University, specifically regarding the use of the trail network adjacent to Hancher Auditorium. It is not clear from the application, however it appears that there will need to be at least one officer on Park Road to assist the runners in crossing the street. If the runners are entering the Park at one location and exiting another, there may need to be 2 Officers. We also need to clarify if they will need any assistance at the beginning of the race. Please have hem contact the Day Watch commander (Lt. Bill Campbell) to clarify their need for Police assistance and to coordinate the reimbursed overtime Officers. Capt.
