Staff Reports Preliminary Minutes March 19, 2015 MINUTES SENIOR CENTER COMMISSION March 19, 2015 ROOM 202, IOWA CITY/JOHNSON COUNTY SENIOR CENTER Members Present: Jay Honohan, Chuck Felling, Kathy Mitchell, Margaret Reese. CALL TO ORDER: The meeting was called to order by Honohan at 4:00 PM. APPROVAL OF MINUTES FROM FEBRUARY 19, 2015 MEETING: Hobbs noted that commissioner Clamon need to be added to the attendance record. Felling noted word change on page two (flesh to flush). Reese noted a grammar correction on page 4. Motion: To accept the minutes from the February 19, 2015 meeting as amended. Motion carried on a vote of 5/0. Reese/Hobbs. PUBLIC DISCUSSION OF ITEMS NOT ON THE AGENDA: COMMISSION ASSIGNMENTS: Honohan will attend the next City Council meeting. Kopping will attend an upcoming board of supervisor meeting. 1 Preliminary Minutes March 19, 2015 STEERING COUNCIL REPORT: The minutes from the previous meeting were distributed. Honohan noted that the Newcomers Breakfast was well attended and a nice event. Motion: To accept minutes of the Steering Council. Motion carried 5/0. Reese/Hobbs. NEW HORIZONS BAND UPDATE: Honohan reported that the Friends of the New Horizons Band hired a lawyer. Assistant City Attorney, Eric Goers has contacted their lawyer and they are currently in negotiations. DISCUSSION OF RESPONSE TO AD HOC COMMITTEE RECOMMENDATIONS: Kopping noted that there are recommendations throughout the Ad Hoc Committee report, which was included in the commission packet. Kopping distributed a preliminary plan of action outlining all of these recommendations. Kopping reviewed this document. She stated that she would like to form a committee (named Committee A) to discuss certain recommendations including current fee structure for members and the facility, changes to the current programing schedule to improve rentals and the kitchen space. Although she is not sure yet how large Committee A should be she would like representation from the commission as well as people from the steering council working committees and participants. Honohan noted that the recommendation that the city council most interested in was funding sources outside of the City of Iowa City's contribution. He thinks this is the most important recommendation in the Ad Hoc Committee report. Kopping agreed and indicated that that would be the primary focus of the plan of action. Kopping asked for commissioners to review the plan of action and let her know if they had any ideas or recommendations about how to move forward with Committee A. Kopping noted that commissioner Holbrook has expressed interest in being on Committee A and asked if any other commissioners would like to volunteer. Honohan, Felling, and Hobbs expressed interest. She reported that she has moved forward with a contract with Linda Wastyn, who will be working on a strategic plan for fundraising. Kopping is working with the city attorney's office to finalize this contract. Preliminary Minutes March 19, 2015 OPERATIONAL OVERVIEW: Kopping asked if the next commission meeting could be moved to a different date. April 9th at 4pm was agreed upon. Kopping noted that it is time to start developing the Senior Center's five year goals and objectives. She is looking for a facilitator for this process and asked if anyone knows of someone who is good at this to please let her know. Kopping noted that she received the FY15 check from the Friends of the Center endowment that is held in the Community Foundation of Johnson County and that it increased 11 % over the last year to $34,250.31. The commission reviewed the additional staff reports that had been distributed. Buhman reported that the Images of Aging film that was produced by SCTV, (based on interviews of Senior Center members photographed by Peter Feldstein), has been accepted into the Cedar Rapids independent film festival. The festival will occur April 17-18. Buhman and Emily Light are working to try and have some of the photographs hung at the festival as well. Motion to receive distributed staff reports. We are all saddened by this loss, and are comforted only slightly by the knowledge that The Center had the opportunity to recognize Bob (in the presence of his wife, Mary Ann, who also died earlier this year) with an award for his service to seniors at our volunteer recognition event last fall. Despite working without Bob for the last few weeks, our other tax aide volunteers (Fred Durian, Pete Husak, James Ephgrave, and Richard Trealoff) did an outstanding job of wrapping up the season. We also received some help from a regional AARP Tax -Aide volunteer, Steven Kueter, which we greatly appreciate. From April 1-15 this year, we went ahead with plans for a pilot project that had been developed earlier in consultation with Bob to make the tax services available during drop -in hours, rather than by appointment. Our hopes with this experiment were to find out if a drop -in approach had a positive impact on efficiency for the front desk staff, the tax counselors, and even the tax clients. If successful, this approach would cut down on the amount of time and frequency of contacts for the front desk staff (eliminating appointment reminder calls and repeated rescheduling by clients, etc.), reduce down time between appointments for tax counselors (many appointments do not require the entire hour that is allotted), and provide clients with the flexibility to receive services on whichever date best meets their needs. Staff and tax aide volunteers will meet to weigh the pros and cons of this approach before deciding if we will carry this approach forward to tax season next year. Senior Health Insurance Information Program (SHIIP) Updates The Iowa City/Johnson County Senior Center will receive a 2015 Governor's Volunteer Award for outstanding commitment and service related to our 25 years of service as a SHIIP site. We have been invited to an award ceremony on June 4, 2015 at 10:30 AM in Marion, IA, and staff and SHIIP volunteers will be present to accept the award. They are training in May and June, will shadow other counselors in July and August, and be ready to get started by the time the Medicare Open Enrollment period rolls around. We are also pleased to have another new volunteer, Rachel Liddle, MPH, a financial counselor at UIHC, to help with drug plan reviews and office work during open enrollment. Spring Concerts and Events The spring season culminated with a series of successful concerts and special events. Among the programs and groups I work with: - Consider the Conversation 2: Stories about Cure, Relief, and Comfort, an Emmy- nominated documentary, was shown at The Center in partnership with Honoring Your Wishes to an audience of 125 people. The event occurred on April 16 in conjunction with National Healthcare Decisions Day, and drew attention to the importance of advance care planning and the availability of healthcare planning services at The Center. - Family Folk Machine had two concerts this spring, a program called "Blooming Where You're Planted" about food and gardening. One performance was held at The Center on Apr 19 with 130 people in the audience, the other at the Old Capitol Senate Chamber on Apr 12 as part of the University of Iowa's Food for Thought Theme Semester. - Voices of Exerience and Senior Standing Room Only each had well -attended shows at The Center. Both groups are making arrangements to give summer performances for residents of local retirement residences. - SoundReach Choir performed at The Center on the evening of May 13 to a standing room only crowd of 130+ people. SoundReach is a music therapy program of West Music that began in 1995, a choir for adults with developmental disabilities. This program always brings a very diverse audience to The Center. Food, Family, Culture, and Change: A Digital Storytelling Project Senior Center Television volunteers collaborated with students from a University of Iowa art class on a digital storytelling project. For six weeks this spring, students and seniors worked together to create videos that explored themes of food, culture, and memory (also in conjunction with the UI's Food for Thought Theme Semester. The groups shared their video works at a public screening on May 1. Intermedia professor Sarah Kanouse worked closely with SCTV Video Production Specialist, Brad Mowrey, and me to plan and implement the collaborative project, and we all look forward to doing it again next year. The finished projects will be shown on the local access channels as well as UITV, and will be available to view on the Senior Center's YouTube channel, run by Senior Center Television: https://www.youtube.com/user/lowaCitySCTV EMILY LIGHT, COMMUNITY OUTREACH SPECIALIST 319-356-5224 • EMILY-LIGHT(�PIOWA-CITY.ORG 28 SOUTH LINN STREET, IOWA CITY, IOWA 52240 Senior Center Television In addition to the intergenerational project this spring, Senior Center Television has had a lot going on this spring! Two of our pieces produced by SCTV were shown as official selections of the Cedar Rapids Independent Film Festival. Our accepted films included: • "Images," the interview project produced in conjunction with the portraits of Senior Center members taken by Peter Feldstein in 2012. • "An Evening with Frank Lloyd Wright," a documentary made by Rosemarie Petzold and Brad Mowrey, which features the restored FLW hotel in Mason City, IA. SCTV has been beefing up the Senior Center's YouTube channel content, adding lots of new and archived videos for the viewing enjoyment of the general public. New programs posted on YouTube are linked to via the Senior Center facebook page, and traffic to the YouTube videos can be tracked with built-in features on the site. Our most popular videos are the Family Folk Machine concerts, the "Images" project, and the Sudanese Community Choir concert. We are excited for the City's new website to launch so we can explore opportunities to post SCTV videos to our own site and integrate it with our YouTube channel. Progress is being made on the Family Folk Machine's "Brown Gold" music video, which is being produced with funds from a Community Foundation grant. A professional sound recording of the FFM singing the song was completed by Luke Tweedy of Flat Black Studios in recent weeks. Brad Mowrey, our SCTV staff person, is working on the visual side of the project, with a small animation component coming from former SCTV staffer Nick Thornburg. The plan is to complete the music video this summer and host a premiere party in early fall. Finally, stay tuned for some neat programming initiatives from Senior Center Television. This fall SCTV will unveil its new "magazine" format show, an hour-long monthly show that features short segments covering a diverse range of topics, offering information and entertainment from the senior perspective in bite -sized pieces. We expect to show the first episode to a public audience at an open house event at the Senior Center in early October. Quilt Raffle Update After discussion among staff and quilting volunteers, it has been decided that we will not hold a quilt raffle in fall of 2015. We are planning ahead for our next raffle in June of 2016. The reason for the change is two -fold: the quilters would not be able to have a quilt ready for this fall because a top has not been donated and they are piecing the next raffle quilt from scratch; and we would like to try an early summer raffle when more volunteers may be available, weather is likely to be nice, the farmer's market will be in full swing, and the potential for ticket sales to increase when the raffle aligns with the Iowa City Arts Fest. Memorandum To: Senior Center Commission From: Michelle Buhman, Program Specialist Re: Program Report Date: May 20, 2015 Proaram Committee Update The Program Committee is planning a second Instructor Meet and Greet for Friday, May 29. The Committee is committed to continue find new ways they can help improve the teaching experiences at The Center. They created a short survey which was sent to presenters via Survey Monkey. I will tabulate the results and present them at the meeting on May 29. Program Update: In addition to the numerous professional services and volunteer opportunities Summer 2015 Program Guide offers the community: 88 Unique Classes, Special Events and movies series 22 Groups and Clubs 6 Performance Groups See the Summer Program Guide for more information. Visibility Action Team The VAT is planning to host a LGBTQ PRIDE "Senior Prom" on Friday June 19`" at the Senior Center. Student Interns Megan Johnson, MPH student intern and Ashley Bente, Aging Studies Intern, both successfully completed internships this past semester, however you will still see them around this summer. Megan Johnson will be teaching "Fit 4 Life" a new class that will be offered in place of Stephanie Smith's fitness classes on Tuesday and Thursday mornings. Ashley will continue on this summer as a volunteer for the trivia program. Our summer intern Johanny Sotillo. She will be at The Center fulltime from May 26 — July 24. Promoting Optimal Aging for Johnson County 28 South Linn Street, Iowa City, Iowa 52240 • 319-356-5220• www.icgov.org/senior e Center IOWA CITY/JOHNSON COUNTY SENIOR CENTER Memorandum To: Senior Center Commission From: Craig Buhman, Maintenance Worker III Re: Facility Report Date: 20 May 2015 The Senior Center is nearing completion of the fire alarm panel replacement project. The scope of work for this project encompassed the removal of most pull stations, smoke and heat detection sensors, and all of the existing horn/strobe alarms. New sensors and pull stations were installed in accordance with current fire and safety codes and synchronized horn/strobes were reinstalled. A new alarm panel was programmed and mounted in the Boiler Room and an annunciator panel was installed at the Washington Street entrance. Internet protocol alarm monitoring will replace the previous system which utilized a two traditional phone lines. As soon as the contractor completes finish work (e.g., patching and painting) and training has been undertaken, a punch list will be generated for final review and acceptance. The Center's automated control system for the HVAC system has been updated. The Center's new control system will be consistent with the controls system used throughout the City. Any inconsistencies in operation or control will be resolved as the City-wide project is finalized. As we begin the summer months we plan on focusing some of our effort in remediating some of the kitchen space. Improvements to some deficiencies that have been discovered in storage spaces will be atop the task list.
