IOWA CITY PARKS & RECREATION COMMISSION MINUTES PRELIMINARY AUGUST 8, 2018 RECREATION CENTER — MEETING ROOM B Members Present: Suzanne Bentler, Steve Bird, Wayne Fett, Ben Russell, Jamie Venzon, Joe Younker Members Absent: Cara Hamann, Lucie Laurian, Angie Smith Staff Present: Zac Hall, Juli Seydell Johnson, Matt Eidahl, Jeff Sears Others Present: Jim Throgmorton, John Thomas CALL TO ORDER Chairman Younker called the meeting to order at 5 p.m. RECOMMENDATIONS TO COUNCIL: (to become effective only after separate Council action): None OTHER FORMAL ACTION: Moved by Bentier, seconded by Fett, to approve the July 25, 2018 minutes as written. Passed 6-0 (Hamann, Laurian & Smith absent) None PARKS TOUR: At 5:05 p.m. the Commission members along with City staff, the Mayor and Councilman Thomas boarded the bus to go on the annual parks tour. Iowa City Parks & Recreation Commission Packet September 12, 2018 Uocomina Events • Dog swim is scheduled for September 9. • Saturday Night Roller -Skating at RAL will on Saturday, September 15 • Kids day at the Farmers Market is Saturday, September 22 • Parties in the Parks continue on Sundays in September (9/2 Brookland Park) (9/9 College Green) (9/16 N Market Square) (9/23 Highland Park) (9/30 Fairmeadows) Status — Previous Commission Items and Discussions April 2018 • Discussion of designated specific park spaces as off -leash dog areas. o To be added to a future agenda Notable from Parks & Recreation Staff Parks • Superintendent of Parks, Zachary Hall, has been selected as a 2018 Corridor Business Journal 40 Under 40 award recipient. This honor highlights the great accomplishments and projects the Parks and Recreation department as a whole have been working on. Recreation: • Fall registration started August 15. Fall programming for all areas will kick off the week of September 10t^/171 • The City Park Amusement Rides will continue weekends through September 30. Currently rides are free. • With summer programs concluded and City Park Pool closing for the season, staff is finishing up program evaluations and compiling attendance numbers. • Staff is working with affiliate groups, other organizations / groups and individuals on reserving field, pool and facility needs for fall. • Recreation staff attended the Iowa State Fair to assist with free programming as part of the Iowa Park and Recreation Association Day. • Recreation staff presented an interactive STEAM activity which educated attendees about the flight of a butterfly. Staff assisted participants in making butterfly bracelets and origami butterflies. Cemetery: • Oakland Cemetery will host the Annual U of I Deeded Body Memorial Service on September 21st 2018 at 1:30pm. Facilities: • Staff working to clean up splash pads and City Park pools for fall/winter shutdown. • Dog swim at City Park Pool on Sunday, September 9th • RALRC staff working through the new Building Automation Controls and getting systems coordinated and efficient. • City Hall staff working on painting offices for new staff and waxing terrazzo on weekend hours • The MPAC gymnasium will be closed September 10-14 for annual gym floor maintenance. Top Staff Issues Parks • Storms have kept staff busy cleaning up downed limbs, tree debris and clearing trails and roads. More than 100 calls, emails and requests for tree related issues were generated from the recent storms. Wet, saturated ground conditions have made it difficult to access areas and perform regular maintenance. Many Athletic Facilities events were forced to cancel due to ground conditions. • Part-time staffing continues to be an issue with most students back in class and not working. Recreation Recreation staff attended the Ulowa Job fair in August. The majority of part-time positions have been filled and new/current part-time staff are being trained. • Recreation staff are currently being certified in CPR for the Professional Rescuer (Instructor) to certify part time staff Cemetery Staff has been busy cleaning up from the recent storms. The cemetery lost one medium size tree and lots of limbs throughout the grounds. • All of the cemetery seasonal employees have ended employment and interviews are in process to pick up at least one season to help this fall. • With the recent rain and heat, mowing and trimming is top priority. Iowa City Parks and Recreation Commission Packet I City of Iowa City Facilities: • Evening maintenance team managing storm issues and flooding in City Hall elevator pit. • Heritage Woodworks continues to make progress at cabins, experimenting with mix for chinking material. • Scanlon Gym will be closed from September loth through 14 for refinishing and new coatings. • RALRC ductwork cleaning will take place from September 51h through 71h, air handlers will be shut down in areas as AmeriClean vacuums the ducts. • Senior Center is prepping for new watermain work and sprinkler piping, this work is coordinated with Public Works. The sprinkler piping work will be complete by an outside contractor. • Staff are working with ICCSD to install a new swim scoreboard at Mercer Aquatic Center. City Park Cabin Restoration Construction Fall 2017 Project in progress. Happy Hollow Shelter & Restroom Upgrades Construction Fall 2017 Project nearly complete. Riverfront Crossing Park, Phase 1 Fall 2017—Spring 2018 (Phase 1 and Nature Play) Project nearly complete. Chauncey Swan Park TBD — Park rebuild at end of building project. Park construction 2018. Hickory Hill Trails, Signs & Bridges Construction Spring 2017 Design delayed, work delayed until Fall 2018.
