HomeMy WebLinkAboutPIN grant and Payment informationFY24 Iowa City Neighborhood Association PIN grant 2024 Grant Timeline • Grant posted: April 19, 2023 • Deadline for application: May 19, 2023 • Review of applications completed: June 2, 2023 • Awardees notified: Week of June 5, 2023 • Funds available: July 10, 2023 • All grant funds must be used by June 30, 2024 Purpose PIN grants are used to provide funding to improve Iowa City neighborhoods by prioritizing community partnerships in engagement, safety and wellbeing and racial equity, social justice & human rights, and climate action, in alignment with City Council’s Strategic Plan priorities. Available Funding A total of $20,000 in grant funding will be available from July 1, 2023 to June 30, 2024. Allocations will be distributed July 10, 2024. Each Iowa City Neighborhood Association to apply can receive up to $3,000 total funds for the fiscal year that can support one project or multiple projects. Eligibility All Neighborhood Associations, as well as up and coming associations (Pilot programs) are eligible to apply. Notices • All application materials and outcomes from awarded projects will be considered public information. • Applicants are required to abide by all City, State, and Federal laws and regulations. • The goal of the grant project must align with the goals listed in Iowa City’s Strategic Plan and align with the values listed there. Allocations Funding will go to projects that: • can be completed within 12 months or less • are focused, planned, and reasonable in scope • are innovative and impactful, directly related to the City’s Strategic Plan goals • are locally focused and beneficial to a diversity of residents of Iowa City Grant funds are intended to be “one-time costs” and cannot be used for operational expenses such as rent or salaries, annual software or website fees, etc. Grantee Responsibilities If awarded, grantees will be required to: • Submit a mid-year report (1 page, due 1/31/24) to share a brief status update on the project (template provided); • Submit a final report 30 days following the completion of the project (template provided); • Document the project through video or photos submitted with invoices and/or final report to show progress and outcomes; • Provide documentation of expenses (e.g., scanned copies of all expense receipts) and submit an invoice for reimbursement; • Disclose any conflict of interest. Application Review and Payment Processes Complete applications must be submitted by May 19, 2023. The PIN Grants awards panel reviews all applications and will determine awards at the end of May 2023, notifying recipients of next steps during the first week of June. Applicants may be asked by the award panel to present an overview of their project or answer questions to help clarify information included in the application before a grant is awarded. Grant funds will be issued at the beginning of July 2023. Invoices and receipts will need to be submitted to the City by June 30, 2024. Grantees may request exceptions to this funding process, but approval or denial of such requests is at the City’s discretion. A complete W-9 is required for payment from Iowa City. (See Payment Procedures below for requirements and resources) Applications will be evaluated by a panel of award committee individuals and scored on the following criteria. • Activity is connected to and supports The City of Iowa City’s Strategic Plan Values and Impacts. • Activity timeline and approach are feasible for budget requested • Budget is complete and describes expected activity costs • Activity helps fill a community need that is not already being met • Activity engages a diversity of Iowa City populations If you need help, we are here for you! Email EngageIC@iowa-city.org. 2024 PIN Grant Payment Procedures Funds will be available from July 1, 2023 to June 30, 2024. They will be awarded to approved projects by July 10, 2023 and will pre-fund projects. Please carefully read information and instructions for requesting payments: • The Association or lead individual on the project will be required to file a W-9 form with the City when the grant is awarded. This will be the applicant responsible for fund and project management and who was listed as the project lead. • Receipts are required at the end of the funding period and should match your allocation. o Expenses beyond approved funding will not be reimbursed. o Unused funds will need to be returned to the Outreach & Engagement Office at the City of Iowa City.
