Job Summary
Directs, manages and supervises the Records division and Station Masters division for the Iowa
City Police Department.
Essential Job Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive
or all-inclusive. Other duties may be required and assigned.
• Supervises records management, customer service, and school crossing guard program.
• Responsible for current and accurate system for storage and retrieval of all departmental
records and files in accordance with state and federal laws.
• Monitors the unit’s expenditures on monthly basis.
• Supervises preparation of numerous reports and documents for the public and other
agencies, acts as liaison and interfaces with other criminal justice agencies.
• Verifies records for monthly Incident Based Reporting data submission to field services.
• Responds to Court/DOT subpoenas and public information requests for records.
• Releases scanned documents to be shredded.
• Performs administrative and clerical duties as assigned.
• Directs work of community volunteers.
• Performs payroll functions in absence of Administrative Coordinator.
• Assists with Station Master duties as needed.
• Conducts self in a manner which promotes and supports diversity and inclusivity in the
workplace and community.
• Performs other duties as assigned.
Minimum Education, Experience, Certification/Licensure, Other
• Associate’s degree from an accredited educational institution and one year of related
experience; or three years of related experience and/or equivalent combination of
education and experience. Experience in office and record management.
• National Crime Information Center Certification within six months of hire. Must pass
criminal background check.

Preferred Education, Experience, Certification/Licensure, Other
• Bachelor’s degree from an accredited educational institution; or four years of related
experience and/or equivalent combination of education and experience. Degree in
Criminal Justice/Law Enforcement, Business Administration, or related. Experience in
computer information systems.
Knowledge, Skills, and Abilities
• Ability to add, subtract, multiply, and divide in all units of measure, using whole
numbers, common fractions, and decimals.
• Ability to apply common sense understanding to carry out instructions furnished in
written, oral, or diagram form.
• Ability to complete a variety of written reports.
• Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
• Ability to deal with problems involving several concrete variables in standardized
situations.
• Ability to effectively present information and respond to questions from groups of
managers, clients, customers, and the general public.
• Ability to read and interpret state laws, reports and updates regarding records
management.
• Ability to read, analyze, and interpret general business periodicals, professional journals,
technical procedures, or governmental regulations.
• Ability to reliably and predictably carry out duties.
• Ability to write reports, business correspondence, and procedure manuals.
• Knowledge of computer software and hardware for police records or related system and
maintenance of a records system.
• Knowledge of general office policies and procedures.
• Skill in computer operation, supervision and office management.
• Skill in using computers and applicable software applications (Microsoft Office – Word,
Excel, Outlook).
Supervision
Involves leadership role such as regularly guiding, training, and providing direction to
permanent staff in completing daily tasks and assignments. May perform additional supervisory
duties at the direction of the Department or Division Head to include disciplinary action,
assisting with hiring or firing, and writing or delivering performance reviews.

While performing the duties of this job, the employee is regularly required to talk or hear. The
employee is frequently required to sit; use hands to finger, handle, or feel and reach with hands
and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or
crawl. The employee must occasionally lift and/or move up to 10 pounds. Specific vision
abilities required by this job include close vision, distance vision, color vision, depth perception
and ability to adjust focus.
