Public Works AideCITY OF IOWA CITY - Job Description Job Class #02-XX FLSA Non-Exempt Non Civil Service Identification Position Title: Public Works Aide Department: Public Works Division: Engineering Supervisor: City Engineer Job Summary Under general direction and supervision, provides clerical support for the Public Works Administration and Engineering Division Office. Performs routine clerical duties and provides general information to the public regarding policies and services. Answers phones at the front desk and responds to requests for information from staff and the general public. Prepares releases, permits, periodic reports and correspondence upon request; deals directly with the public. Performs miscellaneous office duties such as typing, copying, filing, Laserfiche, data entry and updating manuals and code books and is responsible for maintaining the file system and distribution of plans and specifications to prospective bidders. Essential Job Duties and Responsibilities Greets the public and provides routine information and assistance. Answers the phone; takes and delivers messages. Helps track and maintain inventories of operational supplies. Sorts and delivers incoming and outgoing mail. Tracks stormwater best management practice (BMP) program applications and reimbursements. Assists with collecting and processing documents related to public improvement and development projects. Maintains the file system, including file entry and storage. Manages the Adopt-an-Intake Program. Assists contractors and the public with completing permit applications. Conducts self in a manner which promotes and supports diversity and inclusivity in the workplace and community. Performs all other related duties as assigned. The noise level in the work environment is usually moderate. Minimum Education, Experience and Certification High school degree or equivalent required. Minimum of six months of general office/clerical experience and familiarity with standard office equipment (including a PC with Microsoft software) and a minimum of one month of experience working with the public required. Or equivalent combination of education and experience. Must have ability to work independently. Must pass criminal background check. Preferred Education, Experience and Certification Six months of experience with public contact preferred. Knowledge, Skills, and Abilities Computer skills. Knowledge of basic office equipment, filing and sorting techniques. Ability to communicate effectively with the public and staff.
