Library Coordinator - DevelopmentCITY OF IOWA CITY - Job Description Job Class #27-07 FLSA Non Exempt Non Civil Service Identification Position Title: Library Coordinator – Development Department: Development Office Division: Library Immediate Supervisor: Library Director Job Summary Plans and directs the development program of the Iowa City Public Library Friends Foundation. Serves as staff support for the Board of Directors of the Friends Foundation. Direction is exercised over permanent and hourly staff assigned to various Development Office functions. Job Scope Directly supervises two permanent staff and one hourly staff. Assists in the development of the Library budget and makes recommendations for purchases, capital items or additional employees during the annual budget process. Monitors expenditures during the year. Prepares Foundation annual budget and monitors Foundations receipts and expenditures. Essential Job Duties and Responsibilities Works with Foundation Board of Directors to ensure that the mission of the Foundation is carried out. Cultivates and enhances contacts with community leaders and key contributors to increase support and raises funds for the Iowa City Public Library. Coordinates all fund-raising efforts including annual giving, major giving, planned giving, corporate support and special events; develops, prepares and coordinates all fund-raising materials, reports and schedules general correspondence and agendas. Coordinates the receipt and disposal of used materials donated by the community and the Library, including operations of The Book End; oversees volunteers for The Book End. Receives and acknowledges all contributions, grants, bequests and gifts-in-kind; maintains accurate gift records and financial statements for the Iowa City Public Library Friends Foundation and the Development Office. Prepares grant applications with assistance from other Library staff. Prepares and administers Development Office and Iowa City Public Library Friends Foundation budgets. Monitors expenditures of budgets and receipt of gift income. Job Class #27-07 Development Office Page 2 Updated 06/31/2022 Develops annual plan for Development Office including staff, budget, fund raising strategies, publicity, business partnerships, proposals, recognition and programs. Meets regularly with other management staff and the Library Director to plan library services, coordinates projects, resolves problems and keeps other departments informed about Development Office projects. Prepares regular reports on development activities for Library Board of Trustees, Foundation Board of Directors and the public. Carries out established policies and procedures regarding safety and security of patrons and fellow staff members. Consistently presents the Iowa City Public Library and its collections, programs and services in a positive manner and adheres to customer services procedures and guidelines as established by the library. Communicates regularly and using a variety of media the importance and impact of development activities internally and externally. Conducts self in a manner which promotes and supports diversity and inclusivity in the workplace and community. Performs other duties as assigned. Physical and Environmental Conditions While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Minimum Education, Experience and Certification Bachelor’s degree in philanthropy, marketing, public relations or a related field from an educational institution accredited by a DOE recognized accreditation body required. Three years of experience as a professional fund raiser required. Or equivalent combination of education and experience. Must pass criminal background check. Preferred Education, Experience and Certification Experience with public libraries is desirable. Experience with donor software and QuickBooks preferred. Project management and supervisory experience preferred. Experience working with Job Class #27-07 Development Office Page 3 Updated 06/31/2022 boards and parliamentary procedures preferred. Knowledge, Skills, and Abilities Must have proven administrative and fund-raising skills and be committed to the mission of the Iowa City Public Library. Must have excellent writing, speaking and organizing abilities and strong leadership and interpersonal skills. Must have experience with microcomputers and willingness to learn Donor Perfect, Word, QuickBooks and other software as necessary. Ability to interact positively with a wide variety of people.
