Job Summary
Performs general and specialized clerical and administra�ve support func�ons for Iowa City
Housing and Inspec�on Services. Provides general informa�on and assistance to the public and
other departments regarding Housing and Inspec�on Services. Assists in issuance of housing
and building permits.
Essen�al Job Du�es and Responsibili�es
The following duties are normal for this position. These are not to be construed as exclusive
or all-inclusive. Other duties may be required and assigned.
• Provides general informa�on and assistance to the public and other departments
regarding department opera�ons and ac�vi�es, staffs Housing and Inspec�on Services
counter.
• Receives, screens and routes incoming calls, takes messages, makes appointments, and
receives and handles complaints.
• Explains standard forms, checks forms for completeness and correctness, processes, files
and/or distributes forms and correspondence to other staff, updates informa�on into
the database.
• Maintains files both paper and automated, in accordance with department policy and
procedures; designs, processes and generates reports.
• Prepares, maintains and tracks internal and external requests for informa�on, reviews
and compares informa�on and routes informa�on to appropriate staff for follow-up and
inves�ga�on.
• Schedules and manages related paperwork for all housing inspec�ons, including
inspec�ons for Housing Choice Voucher Housing.
• Issues rental permits, tracks unpaid accounts, bills and collects fees.
• Researches proper�es without valid rental permits, sends viola�on no�ces as
appropriate.
• Collects and processes staff �me sheets, records payroll changes for three divisions.
• Types a variety of leters and forms and collects and compiles sta�s�cal data; follows up
with correspondence and phone calls as necessary.

• Maintains inventory of brochures, pamphlets, and documents related to available
community resources and ensures informa�on is properly displayed and made available
to general public.
• Conducts self in a manner which promotes and supports diversity and inclusivity in the
workplace and community.
• Performs other du�es as assigned.
Minimum Education, Experience, Certification/Licensure, Other
• High school diploma or G.E.D. and one year of related experience or training; or
equivalent combination of education and experience. Experience in general office
environment or related.
• Valid State of Iowa driver’s license with sa�sfactory driving record. Must be 18 years of
age. Must pass criminal background check.
Preferred Education, Experience, Certification/Licensure, Other
• Associate’s degree from an accredited educational institution; or two years of related
experience and/or equivalent combination of education and experience.
Knowledge, Skills, and Abili�es
• Ability to add, subtract, mul�ply, and divide in all units of measure, using whole
numbers, common frac�ons, and decimals.
• Ability to apply common sense understanding to carry out instruc�ons furnished in
writen, oral, or diagram form.
• Ability to deal with problems involving several concrete variables in standardized
situa�ons.
• Ability to operate standard office equipment including calculator, printers and copier.
• Ability to perform basic mathema�cal calcula�ons.
• Ability to read and understand technical materials, manuals and other department
documenta�on to record work ac�vi�es, keep records, and work on the computer.
• Ability to reliably and predictably carry out du�es.
• Ability to speak effec�vely before groups of customers or employees of organiza�on.
• Ability to write rou�ne reports and correspondence.
• Basic knowledge of general office procedures, and clerical and financial record keeping
procedures.
• Knowledge of department opera�ons and programs.
• Skill in opera�ng a variety of office machines and equipment.
• Skill in using computers and applicable so�ware applica�ons (Microso� Office – Word,
Excel, Outlook).
• Communicates effec�vely with diverse groups of people and interacts courteously with
the public.
