Essen�al Job Du�es and Responsibili�es The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. • Receives and inves�gates and/or refers ques�ons and complaints from the public and City staff; researches informa�on and responds to requests for records and other per�nent informa�on, follows up with correspondence and phone calls as needed. • Maintains records and inventories, and monitors use of supplies and equipment, orders supplies and materials as necessary. • Maintains �me sheets and personnel files, prepares payroll change forms. • Processes travel requests and expense reports. • Inputs and monitors division budget, processes accounts payable and accounts receivable, manages selected procurement card purchases, assists with grant applica�ons. • Establishes and maintains office filing system and computerized records, ensures files are maintained in good working order and easily retrievable. • Maintains general policies and procedures, rules, regula�ons, handbooks, planning documents for departmental access, may include upda�ng informa�on on department website. • Performs various procedures to set up usernames and maintain username database. • Processes monthly charge backs for network, hardware replacement, federally funded support and hardware. • Processes new hardware, ensures City receives correct order, enters item(s) into hardware database, returns damaged equipment, tracks sold items. • Works as part of help desk to resolve issues and no�fies technician for service. • Performs and archives daily backups, uses Laserfiche to scan and maintain Informa�on Technology services folders. • Conducts self in a manner which promotes and supports diversity and inclusivity in the workplace and community. • Performs all other related du�es as assigned. Updated: March 2024 Minimum Education, Experience, Certification/Licensure, Other • High school educa�on or G.E.D. and seven to twelve months of related experience or training, or equivalent combina�on of educa�on and experience. • Must pass criminal background check. Preferred Education, Experience, Certification/Licensure, Other • High school diploma or G.E.D. and one year of related experience or training, or equivalent combina�on of educa�on and experience. Experience clerical and/or computer system opera�ons. Knowledge, Skills, and Abili�es • Ability to add, subtract, mul�ply, and divide in all units of measure, using whole numbers, common frac�ons, and decimals, ability to compute rate, ra�o, and percent. • Ability to apply common sense understanding to carry out detailed but uninvolved writen or oral instruc�ons. • Ability to complete a variety of writen reports. • Ability to deal with problems involving a few concrete variables in standardized situa�ons. • Ability to effec�vely present informa�on in one-on-one and small group situa�ons to customers, clients, and other employees of the organiza�on. • Ability to maintain inter- and intra-department confiden�ality. • Ability to operate and provide for maintenance of a variety of office machines and equipment. • Ability to read and understand laws, ordinances, reports, and other writen communica�on. • Ability to reliably and predictably carry out du�es. • Knowledge and basic skill in use of computer so�ware Microso� Office – (Word, Excel, Outlook), and hardware systems and general records maintenance. • Knowledge of general office policies and procedures. • Skill in the opera�ons of computers and general office equipment.
