HomeMy WebLinkAboutSenior Clerk Typist - StreetsUpdated: March 2024 CITY OF IOWA CITY – JOB DESCRIPTION Posi�on Title: Senior Clerk/Typist – Streets Department: Public Works Division: Streets & Traffic Engineering Supervisor: Assistant Superintendent/Superintendent of Streets & Traffic Engineering FLSA: Non-Exempt Civil Service: Yes Pay Grade: 7 Job Number: 0716 Job Summary Under general direc�on, performs rou�ne clerical du�es requiring basic knowledge of the Streets & Traffic Engineering division. Assists general public with requests, inquiries and complaints about services, policies and ordinance regula�ons. Essen�al Job Du�es and Responsibili�es The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. • Answers phone, provides general informa�on to the public, responds to inquiries and complaints concerning division services, refers unanswered ques�ons and complaints to appropriate par�es. • Orders materials needed by the division, communicates informa�on to vendors regarding quan��es needed. • Enters data on computer, prepares reports, compiles sta�s�cal data on leaf program, curb and guter program and snow/ice control. • Collects, compiles and tracks data, prepares reports as requested for special projects, such as clean-up under FEMA (Federal Emergency Management Agency). • Prepares invoices and annual reports, monitors expenditures, tracks projects to invoice for damaged City property to recapture lost funds, and tracks capital outlay. • Assists in processing the division budget and budget amendments. • Prepares spring sweeping schedule, winter standby list and summer standby list. • Designs database and spreadsheets for applica�ons, u�lizes appropriate computer applica�ons, reviews and updates division webpage as needed. • Uses daily assignment sheets to track equipment, materials and labor �me used on projects into each appropriate budget code for budget planning and invoicing. • Operates standard office equipment including a computer, calculator, printers and copy machines in performance of du�es, operates two-way radio to communicate with City crews. • Composes and types a variety of correspondence regarding division services. • Maintains office files, opens, and routes mail. Updated: March 2024 • Enters contracts and change orders, prepares purchase requisi�ons, check requests and small order requisi�ons; submits for approval and transmital. • Monitors procurement cards and purchase requests. • Prepares bi-weekly �mecards and records, over�me compensa�on accrual records and sick leave charts for divisional employees; monitors and records employee atendance forms, accrual printouts and compensa�on accrual data; maintains Occupa�onal Safety and Health Administra�on and over�me equaliza�on reports. • Conducts self in a manner which promotes and supports diversity and inclusivity in the workplace and community. • Performs other du�es as assigned. Minimum Education, Experience, Certification/Licensure, Other • High school diploma or G.E.D. and one year of related experience or training; or equivalent combination of education and experience. Experience in clerical work, including public contact and use of personal computers. • Must pass criminal background check. Preferred Education, Experience, Certification/Licensure, Other • Associate’s degree from an accredited educational institution; or two years of related experience and/or equivalent combination of education and experience. Knowledge, Skills, and Abili�es • Ability to add, subtract, mul�ply, and divide in all units of measure, using whole numbers, common frac�ons, and decimals, ability to calculate percent. • Ability to apply common sense understanding to carry out instruc�ons furnished in writen, oral, or diagram form. • Ability to deal with problems involving several concrete variables in standardized situa�ons. • Ability to effec�vely present informa�on in one-on-one and small group situa�ons to customers, clients, and other employees of the organiza�on. • Ability to prepare writen correspondence. • Ability to read and interpret maps, work orders and purchase requisi�ons. • Ability to reliably and predictably carry out du�es. • Knowledge of City street loca�ons. Knowledge of general office procedures. • Knowledge of City u�lity services and opera�ons. • Skill in using computers and applicable software applications (Microsoft Office – Word, Excel, Outlook, Cartegraph or Asset management software).
